Warning about mail from external systems

What is email from external systems?

Electronic mail from external systems (external e-mail) is any mail that arrives in your e-mail inbox from a sender outside Alma Mater (all except @almamater.si).
Such mail includes mail from various companies and persons with whom we may interact frequently.

Before the message is delivered to your inbox, the University’s email system adds a warning in the body of the message to alert you that the message has come from an external source:

If a message does not have such a warning (i.e. it comes from university sources), it is not necessarily safe!

What is the risk of malicious of a malicious email?

If you receive a malicious email and click on a link or provide personal login information, you may compromise the security of the entire university system.
By doing so, you may allow a virus, malware or ransomware to take over our systems.
If you follow the message of a “bad actor”, you may also expose your data and lose files, or you may lock your account.

Bad actors sending malicious emails are increasingly difficult to detect, so it is important to be vigilant and critical when reviewing messages.

What should I do when I see a warning banner on mail from external sources?

It is important to check that the email is legitimate, as sometimes new types of fraudulent messages may not be known to security systems.
(This is very rare, but it can happen.)

How can I check whether an external email is legitimate?

If the sender asks for more private information or attaches questionable files, you should check whether the message is legitimate or not.
There are several parts of an email message that you can check to confirm whether it is legitimate or not, these are:

  1. Does the sender use a known email address?
    – The sender’s address is written next to the name
  2. Is the sender obscuring the destination of the links?
    – If you hover over a link (without clicking on it), the real link will appear.
  3. Does the sender use non-literal terms?
